Keep, scan or shred: giving the right records a second life.

Not every page deserves to be digitized. Deciding which ones do is the most valuable hour you’ll spend on your records.

Ask most organizations what’s in their storage room and the honest answer is “everything.” Old files stay because no one has time to decide, and deciding feels risky. So the boxes multiply, the rent stays paid, and the room quietly becomes the place where information goes to be forgotten.

Scanning everything isn’t the answer. It only moves the clutter somewhere smaller. The better question is simpler: what is each record for?

Three honest piles

Keep the records you must retain, or that carry legal, historic or personal weight as originals: signed agreements, deeds, original wills and irreplaceable historic material, with a searchable copy for everyday use.

Scan the records people still need to find. If someone has gone looking for it in the past few years, or a regulator, client or member might ask, it should be searchable. This is usually the biggest pile, and the one that pays back fastest.

Shred the records past their retention period with no ongoing value. Destroy them securely, get a certificate, and enjoy the space.

The goal isn’t less paper. It’s no more searching.

How to decide without a committee

Start with your retention schedule, or with the rules for your sector if you don’t have one. Then ask the people who search: what do they look for, and how? Their answers tell you what to scan first and how to name it.

Then work in stages. One box of a typical series is enough to test naming, indexing and quality before you commit to a full project. It’s why our free trial is one box.

The real point

Records exist to be found. Give the right ones a second life as searchable files, retire the rest with care, and the storage room stops being a cost and becomes a resource.
