Privacy Policy
Last updated: October 19, 2026.
Jennifer Audrey McFarlane, operating as Yes, We Scan! ("YWS", "we", "us"), respects your privacy. This policy explains how we handle personal information collected through yeswescan.ca and in our dealings with prospective clients. We follow the Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada's Anti-Spam Legislation (CASL).
1. Who is accountable
Our privacy officer is Jennifer McFarlane, who can be reached at [email protected] or 613-223-7359.
2. What we collect
- When you contact us or request a trial or quote: your name, organization, job title, work email, phone number, pickup address, and what you tell us about your records and project.
- When you visit the website: basic technical information, such as your browser type, the pages you view and the approximate area you connect from. We use Cloudflare Web Analytics, which does not use cookies, to understand how the website is used. We do not use advertising cookies.
We do not ask for, and ask you not to submit through the website, the contents of your records or any sensitive personal information.
3. Why we use it
We use your information to:
- respond to your inquiry, qualify and arrange a free trial, and prepare a quote;
- deliver and administer services your organization engages us for;
- keep records of trials provided, so that each organization receives one; and
- improve the website.
We will not sell, rent or trade your personal information.
4. Consent and marketing emails
4.1 By submitting a form, you consent to our use of your information for the purposes in section 3.
4.2 We will send you newsletters or promotional emails only if you tick the separate consent box on our forms, or where CASL otherwise allows. Every such email will identify us and include a way to unsubscribe. We will act on an unsubscribe request within 10 business days.
5. Who we share it with
We share personal information only with service providers who help us operate, such as our website host and email provider, and only as needed for them to provide their service. They must protect it. Our website is hosted on Cloudflare’s global network, and messages sent through our forms pass through FormSubmit, a form-delivery service, before reaching our email. These providers may store or process information outside Canada, including in the United States, where it may be subject to the laws of that country.
We may also disclose information if required by law.
6. Client records we scan
The records your organization gives us for a trial or project, and the images we create, belong to your organization. We handle them on your behalf, under the Free Trial Terms or our signed service agreement, and not under this policy. Those documents set out our security, confidentiality, retention and deletion commitments.
7. How long we keep it
We keep inquiry and trial information for as long as needed for the purposes in section 3, and then delete or anonymize it. Because each organization can receive only one free trial, we keep a short record of each trial (the organization's name and the date of the trial) for as long as we offer trials.
8. How we protect it
We protect personal information with physical, organizational and technical safeguards suited to its sensitivity, including restricted access and secure systems.
9. Your rights
You may ask to see the personal information we hold about you, ask us to correct it, or withdraw consent, subject to legal and contractual limits. Contact our privacy officer. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.
10. Changes
We may update this policy by posting a new version on this page.
